Company Vehicle policy

This policy is included in the Employee Handbook.

If you provide employees with (or access to) a company car, site van or any other mode of transport as part of their role, or if you provide a vehicle allowance, it is important to outline to employees what they can (and more importantly) cannot do.

It's also extremely important to fully explain to staff how and in what circumstances you may need to change, vary or withdraw vehicle allocations, or review allowance levels. (Without such information any variation to a contractual benefit may be in breach of an employees employment contract).

Vehicle use and responsibilities:

  • Essential users and occassional drivers.
  • Vehicle allocation, transfers and specifications (e.g. model, type, engine size, colour etc).
  • Replacements, purchases and cash allowances.

Vehicle use and costs:

  • Insurance, MOTs, general wear, tear and repair.
  • Accidents, incidents, thefts and speeding tickets, points and driving bans.
  • Running costs, roadworthiness, fuel and fuel cards.
  • Monitoring, private use and reclaiming costs.
